Case Study: Consolidation and centralization of label formats in an FDA-regulated environment
Challenge A pharmaceutical company managed, distributed and printed over 5,000 individual label files. To print a product label in the company’s main plant, the network operators searched the server files and folders to find the correct label format based on the file name. The label design file was then opened in maintenance mode and data, such as lot and production numbers (including the expiration date), were entered directly on the label template. Then the label was saved and saved as a new file in a folder on the local server. If a remote facility required a label, the staff at the main facility sent it by e-mail. The remote facility collected the labels in its own library. With each new label, the number of files increased.

The system relied heavily on the expertise and accuracy of the users. The lack of control elements made way for a lot of potential errors. Also, there was no protocol to ensure that proper file backups were performed and the system was not scalable to future needs.
Solution The pharmaceutical company signed a contract with a BarTender partner to improve its labeling processes. All label templates and data are now managed separately in a secure, version-controlled database. BarTender fills variable data fields, such as lot number, expiration date, and serial number at the time of printing from external, validated sources. They no longer need to be typed in by the print operator, who now simply initiates the label printing process from the BarTender print timesheet interface. BarTender merges the variable data with the corresponding approved version of the label template, prints the label, and records a comprehensive tracking trail.
The company reduced its 5,000 label files to just 60 label templates. They are now automatically generated from a secure, verifiable, central database of label content.
Services The pharmaceutical company now manages changes to labels across the enterprise in seconds, thanks to BarTender’s centralized file management system – the change applies to all relevant records and label templates. Labeling processes have been rationalized and cost savings achieved.
